KK Distributors Ltd ("KK Distributors", "we", "us", "our") is a wholesale distribution business based in Auckland, New Zealand. Our warehouse and registered address is Unit 2, 319 Neilson Street, Onehunga, Auckland.

This policy covers personal information we collect through our website at kkdistributors.co.nz, by phone or email, and in the course of supplying goods to trade customers.

02What information we collect

We only collect what we need to trade with you.

• Account details — your name, business name, email address, phone number and delivery address.
• Order information — what you ordered, when, quantities, delivery addresses and order history.
• Payment information — we record that a payment was made and its reference. We do not store full card numbers; payments are handled by our payment provider.
• Correspondence — enquiries you send us through the website, by email or by phone.
• Technical information — IP address, browser type, pages visited and approximate location, collected automatically by our website and analytics.

We do not knowingly collect information from anyone under 18, and this is a trade-only site.

03How we collect it

• Directly from you when you create a trade account, place an order, or contact us.
• Automatically through cookies and analytics when you use the website.
• Occasionally from third parties — for example a credit reference or a publicly listed NZBN record — where relevant to opening a trade account.

04How we use your information

We use personal information to:

• Set up and manage your trade account, including showing you wholesale pricing.
• Process, pick, dispatch and deliver your orders.
• Take payment and keep accurate accounting records.
• Answer your enquiries and provide customer support.
• Send you order confirmations and service messages.
• Send marketing emails about new lines, clearance and promotions — only if you have opted in, and you can unsubscribe at any time.
• Improve the website, our range and our service.
• Meet our legal and tax obligations.

05Who we share it with

We share personal information only where it is necessary:

• Freight and courier partners — your name, delivery address and phone number, so your order arrives.
• Payment providers and banks — to process payments.
• Our accounting and inventory system (MYOB) — to manage invoices, stock and orders.
• IT and website providers — hosting, email and analytics providers who process data on our behalf.
• Professional advisers — accountants or lawyers, where required.
• Government agencies — where we are legally required to disclose information.

Some of these providers may store data on servers outside New Zealand. Where that happens we take reasonable steps to ensure comparable protections apply, as required by the Privacy Act 2020.

06Storage and security

Personal information is held in our website database, our email system and our accounting software. We take reasonable steps to protect it — access controls, encrypted connections (HTTPS), and limiting access to staff who need it to do their job.

No system is completely secure. If we become aware of a privacy breach that is likely to cause serious harm, we will notify affected people and the Office of the Privacy Commissioner as required by law.

07How long we keep it

We keep personal information only as long as we need it. Business and tax records — including invoices — are kept for at least seven years as required by New Zealand tax law. Marketing contact details are kept until you unsubscribe. Inactive trade accounts may be closed and their data deleted on request.

08Cookies and analytics

Our website uses cookies — small files stored by your browser — to keep you logged in, remember your cart, and understand how the site is used.

• Essential cookies — needed for login, cart and checkout. The site will not work properly without them.
• Analytics cookies — help us see which pages and products get used, in aggregate.

You can block or delete cookies through your browser settings, but some parts of the site — particularly your trade account and cart — may stop working.

09Your rights

Under the Privacy Act 2020 you have the right to:

• Ask what personal information we hold about you.
• Ask us to correct anything that is wrong.
• Ask us to delete information we no longer need to keep.
• Unsubscribe from marketing at any time.

10Changes to this policy

We may update this policy from time to time. The current version is always on this page, with the "last updated" date at the top. If we make a significant change we will let account holders know by email.
